E-signing – a smarter way to more efficient processes

As companies and organisations become more digital, the way we handle documents and agreements is also changing. Where we used to print, sign by hand and send letters, today we can complete the entire process with just a few clicks. E-signing is a modern way of working that saves time, reduces costs and increases security – without compromising legal validity or control.

Introducing digital signing is not just a technical improvement, but a strategic investment that frees up resources and makes it easier to focus on what really matters: the business and the people in it.

Save time and resources at every step

Printing, posting and handling physical documents takes both time and money. By switching to digital signatures, these processes can be reduced from days to minutes.

  •  Agreements can be signed immediately, without delay.

  •  No papers need to be printed, which reduces the environmental impact.

  •  All communication is collected digitally – there is no risk of documents being lost.

It simply becomes easier to do the right thing, quickly.

FAQ - e-signing

E-signing means that agreements or documents are signed digitally instead of on paper. This is done through approval with, for example, BankID, email link or SMS code.

Yes, in Sweden, advanced electronic signatures such as BankID are legally binding under the eIDAS Regulation. This means that they are just as valid as a standard signature on paper.

Absolutely. Many systems offer mass signing, which is particularly convenient for annual updates, policies or employment contracts, for example.

All signatures are logged with the time, IP address and identification. It is not possible to change a document after signing without it being noticed.

Example: A signing log shows that Anna signed an employment contract via BankID on 4 June at 13:46 from her mobile phone.

From manual handling to digital agility

Many companies still handle large parts of their document management manually. Agreements are printed out, sent around, signed, scanned and archived in binders or folders. This takes time, requires administration and increases the risk of errors or lost documents.

With e-signing, the entire process is digital. The document is sent to the right people, signed online and automatically saved in the right place. The result is shorter lead times, reduced paperwork and more transparent handling that both employees and customers appreciate.

Secure and legally valid

A common question is whether a digital signature has the same legal value as a physical signature. The answer is yes – when it is implemented with the right technology and security level.

E-signatures in accordance with European standards (eIDAS) are legally binding within the EU. Identification, time stamping and digital certificates ensure that the right person signs and that the document cannot be manipulated afterwards. This provides security for both the sender and the recipient, while making the entire process traceable and transparent.
